Prioritize, organize, and manage the BGD Chair's activities by scheduling, preparing, and following- up on a high volume of meetings, appointments, and travel arrangements.
Tasks:
• Prioritize, organize, and manage the Chairman’s activities by scheduling, preparing, and following- up on a high volume of meetings, appointments, and travel arrangements.
• Coordinate meeting requests, emails, and phone calls from internal and external stakeholders, always ensuring timely responses and efficient communication and keeping track of relevant contact information.
• Help manage the activities of the Chairman in his duties as professor at ESMT, chairman of Berlin Global Dialogue, and other activities.
• Organize all domestic and international travel arrangements, including booking flights, accommodations, and ground transport, and processing travel-related expenses and receipts.
• Provide administrative support for meetings by assisting with logistics, technical support, research, material preparation and dissemination.
• Support the Berlin Global Dialogue team with additional organizational tasks as time permits and as needed.
Requirements:
• Previous experience as an executive assistant or in a similar administrative role.
• Highly organized and able to manage multiple tasks, deadlines, and priorities effectively.
• Excellent verbal and written communication skills in English and German and proven experience with high-level stakeholders.
• Strong attention to detail to ensure accuracy in scheduling, documentation, and communication.
• Proficiency in MS Office, video conferencing platforms, and other administrative tools.
• Ability to handle sensitive information with discretion and confidentiality.
• Keen interest in the intersection of politics, business, and academia.
• Ability to thrive in a dynamic environment and adapt to changing priorities.
Program Manager
Drive the development of sessions for the annual summit by conducting research, identifying key areas of debate, consulting relevant stakeholders, and writing concise session outlines.
Tasks:
• Drive the development of sessions for the annual summit by conducting research, identifying key areas of debate, consulting relevant stakeholders, and writing concise session outlines.
• Develop and coordinate the program overview and maintain all program related documents up-to-date.
• Collaborate with BGD partners, experts, and moderators to contribute to the development of a relevant and engaging program.
• Identify and secure high-level speakers from the private and public sector for the annual Berlin Global Dialogue summit as well as other Berlin Global Dialogue events.
• Create speaker and moderator briefings, coordinate logistics, and ensure effective communication with speakers and moderators throughout the process.
• Manage and drive the delivery of the BGD Young Voices program.
• Conduct research and develop materials for other Berlin Global Dialogue events as needed.
Requirements:
• Bachelor’s degree or higher and relevant working experience in international relations, economics, or public policy. Experience in developing conference programs is an asset.
• Excellent understanding of international politics, decision-making processes, and relevant stakeholders.
• Ability to dive into a range of different topics, identify key areas of debates, and summarize core arguments in a concise manner.
• Demonstrated experience working with high-level stakeholders and partners.
• Strong writing skills in English and German and ability to produce high-quality policy papers.
• Highly organized, detail-oriented and able to drive projects independently.

Team Assistant
Provide administrative support to the Managing Director and the Director by managing calendars, scheduling meetings, making travel arrangements, and submitting expense reports.
Tasks:
• Provide administrative support to the Managing Director and the Director by managing calendars, scheduling meetings, making travel arrangements, and submitting expense reports.
• Create documents, materials, and presentations for BGD stakeholders as required.
• Contribute to the development, improvement, and implementation of organizational processes and project management.
• Support the successful implementation of partnership deliverables and coordinating communication with key BGD partners.
• Manage the BGD inbox and respond to participant queries in a timely and professional manner.
• Ensuring the smooth running of the office and team activities, e.g. by setting up meetings, ordering office supplies, and arranging team events.
• Support the team with additional organizational tasks as needed.
Requirements:
• Proven experience in administration, personal assistance, team assistance or a relevant field.
• Highly organized and have a strong ability to manage multiple tasks, deadlines, and priorities effectively.

Social Media Student Assistant
Work closely with the Communications Manager to support the execution of the overall communications strategy of Berlin Global Dialogue.
Tasks:
• Work closely with the Communications Manager to support the execution of the overall communications strategy of Berlin Global Dialogue.
• Write, schedule and post engaging social media posts for Twitter and LinkedIn to grow the audience, reach, and engagement of the BGD channels.
• Create and manage the social media calendar for Twitter and LinkedIn.
• Prepare weekly reports to track engagement across various social media platforms.
• Monitor social media debates on topics that are relevant to Berlin Global Dialogue.
• Write briefings for journalists and other key stakeholders.
• Conduct research for the BGD summit program and support the invitation process.
Requirements:
• Enrolled in a full-time bachelor or master program in political science, foreign affairs, international economics, or a related field at least until the summer of 2025.
• First work experience in international organizations, political foundations or non-profits.
• Strong understanding of social media, with a proven track record of engaging audiences on different platforms.
• Familiarity with different social media tools (e.g. Hootsuite). Knowledge of design tools (Canva, InDesign, Photoshop) is a plus.
• Excellent verbal and written English skills. German is a plus.
• Keen interest to work at the intersection of politics, business and society, and you follow political discussions and trends on social media.
• Highly organized, detail-oriented, and able to work independently.
